Plant Designs is an interior landscaping company, providing an office plant design, installation and maintenance service, delivered via a team of qualified horticulturalists, designers and plant technicians.
The Business Challenge
The Plant Designs team was split between office-based staff and maintainers, who were continually on the road with no access to computer systems. Communication between office and maintainer staff was poor, with the office team struggling to manage and task the maintainers. They needed a more efficient and effective way of managing the entire business processes, including organising customer information and streamlining the sales process.
The Centric Approach
We setup a support agreement and scheduled regular review meetings with both office staff and maintainers to establish an innate understanding of the business’ processes and to identify the source of the communications problems. From this immersion in the business, we were able to plan a high level strategic approach to the communications challenges faced by the company.
The Centric Solution
Using Plant Designs’ existing Microsoft Exchange Server, we recommended the introduction of mobile devices for all members of staff. We advised on compatible devices and visited the client to demonstrate the functionality of the devices to ensure they were comfortable with the technology and its usability. We added all staff to the company’s computer system and setup a company mobile for each member of staff. We enabled the calendars and contacts on the mobile devices and gave office workers and managers the ability to edit and view the tasks and calendars of maintainers.
Results
The solution resulted in increased efficiency across the entire company, with office staff able to task maintainers whilst on the road, delivering improved response times and allowing the maintainers to handle additional clients. The improved communication brought to the business by the new setup, also resulted in raised staff morale, with maintainers feeling a more inclusive part of the Plant Designs team.
